1. Who we are

This policy covers the rebuilt EasyFill application, accounts and form services hosted at easyfillai.org. The original easyfill.ai marketing site and legacy applications may have separate notices and tracking practices.

When a business uses EasyFill to collect a form response, that business chooses what to collect and how to use it. Its own privacy notice also applies. We process those responses to provide its form and document services.

2. Information we handle

• Accounts and support: names, email addresses, phone numbers, business details and information you send when requesting help.
• Forms and documents: uploaded PDFs, templates, field mappings, answers, attachments and signatures submitted through a form.
• Subscription records: plan, payment status and billing identifiers. Stripe processes payment details.
• Technical and activity records: authentication, security and administrative events, timestamps, browser or request details and available IP addresses.

Signature receipts record a unique identifier, timestamp, signature method and an IP address when available. These records document a submission; they do not independently verify the signer's identity.

3. How we use information

We use information to create and manage accounts, save and fill forms, generate completed documents, provide workspace access, administer subscriptions, deliver service emails, answer support requests, investigate errors and misuse, and maintain recovery copies. We also use records to meet applicable legal obligations and resolve disputes.

4. Service providers and sharing

Form responses and attachments are available to the business receiving them and its authorized workspace users. If a business configures an integration, submission information may also be sent to its chosen destination.

We use providers to operate the service: Vercel for hosting, Supabase for authentication, databases and file storage, Stripe for payments, Resend for email, and Backblaze for encrypted recovery archives. Optional AI processing is described below. Providers process information needed for their respective functions.

Information may be processed in the United States and other locations where our providers operate. We may disclose information when required by law, to protect the service or others, or in connection with a business transfer subject to applicable requirements.

5. Optional AI features

AI form generation asks for your confirmation before sending your description to DeepSeek. Avoid including information that is unnecessary for the requested form. We record usage information, such as token counts; the application's AI usage log does not store the prompt text. Generated content can be saved when you choose. Processing by DeepSeek is subject to its own terms and privacy practices.

6. Cookies and browser requests

The application uses cookies and browser storage for sign-in, session management and interface preferences. Blocking these can prevent account features from working. Pages also request resources from our hosting and font providers, which receive the technical information needed to serve those requests.

This notice does not describe advertising technologies on the separate original marketing site. Refer to the notice on the site you visit for its tracking practices.

7. Storage, security and retention

We use access controls, private file storage and encrypted recovery archives to help protect information. No system can guarantee complete security. Keep your account credentials and shared form links secure.

We retain information for service delivery, recovery, security and applicable recordkeeping needs. Account records, customer documents and backup copies have different retention periods. Account inactivity does not automatically delete documents.

Some recovery copies are protected for a limited period and expire separately from active records. A deletion from the active service may therefore remain in a protected backup until that copy expires. Contact us about retention or deletion of your information.

8. Your choices and requests

Depending on applicable law, you may have rights to access, correct, receive a copy of or request deletion of personal information, restrict or object to certain processing, withdraw consent, or complain to a relevant authority.

Email david@easyfill.ai to make a request. We may need to verify your identity or authority before releasing or changing records. Please do not email passwords or unnecessary sensitive documents.

If you submitted a form to a business, contact that business first about its response records. We can help identify the appropriate request route. Requests are handled subject to applicable law, recordkeeping needs and the rights of other people.

9. Information about children

Businesses using EasyFill, including child care providers, may collect information about children through their forms. They are responsible for appropriate notices, permissions and the information they request. A parent or guardian with a concern about a child's record can contact the collecting business or our privacy contact.

10. Updates and contact

We may update this policy as the service or applicable requirements change. The effective date above identifies this version. Where required, we will provide additional notice of changes.
